Key Terms

Bookings made through our website booking system or directly by credit or debit card take full or part payment at the point of booking, any balance due is required to be made by bank transfer, details will be provided prior to your balance becoming due.

At the point of booking/deposit receipt your holiday is considered confirmed and is non changeable or refundable and the following cancellation policies apply.  

You may cancel your holiday with Sloeberry Farm at any time; however, the following fee structure will apply:

Cancellation Policy and Terms & Conditions

  • Where the balance of the payment for your holiday has not been paid 8 weeks prior to the commencement of your holiday, if the balance is not received Sloeberry Farm will be entitled to rescind the agreement, retain the deposit, and then claim against you all losses incurred. In the case of cancellation more than 8 weeks before the commencement of your stay only the deposit will be forfeited. It is your responsibility to ensure you have appropriate travel insurance in place.

    If a refund is agreed upon cancellation this will be less any fees incurred for example but not limited to commissions, costs or fees incurred e.g marketing/websites/admin.

  • Reservations or changes to existing reservations will not be covered for any cancellations, changes of date or other relaxations of our booking conditions due to pandemic or other circumstances e.g: transport disruptions and cancellations; travel advisories and restrictions; health advisories and quarantines; inability to travel for any reason including the need to self isolate/illness/shield; changes to applicable law; and other government mandates, such as evacuation orders, lock downs or recommendations not to travel, border closures, prohibitions on short-term rentals, and shelter-in-place requirements. After the declaration of COVID-19 as a global pandemic by the World Health Organization, we are unable make exceptions to this because COVID-19 and its consequences are no longer unforeseen or unexpected.

    The cancellation policy will apply as usual. All guests should ensure they have adequate holiday travel insurance in place.

    Guests also acknowledge that at times there may be some changes to their accommodation, accessible spaces and closure of facilities provided that are beyond our control. No refund or partial refund will be made under these circumstances.

    Guests must confirm they are familiar with and able to comply with any government requirements in force at the time of their stay

    All guests should ensure they have adequate holiday travel insurance in place.

  • Where any cancellation or change to your booking results from force majeure, our liabilities are limited.

    We cannot pay any compensation/refunds, meet any expenses or costs you may incur as a result of any such cancellation or change. "Force majeure" as interpreted by Sloeberry Farm exists if the implementation of the agreement is entirely or partially, temporarily or permanently, prevented due to circumstances which are beyond the control of Sloeberry Farm, including without limitation threat of war, staff strikes, blockades, fire, an act of God, floods, high winds, epidemics, health risks and other disruptions or events. Sloeberry Farm are within their rights to close the location, part of the location or facilities when they consider such circumstances as these make it necessary

    All guests should ensure they have adequate holiday travel insurance in place to cover this.

 

Full Terms & Conditions

  • The rent of each glamping unit includes the following, in addition to the facilities listed in the welcome pack:

    Rental of tent, pitch, deck and furnishings, parking, use of and access to designated areas of camp grounds, use of water, VAT where applicable.

    It is the policy of Sloeberry Farm that children and/or pets are not to be left unattended in the Cabins or Lodges at any time. Please also see section “Dogs at Sloeberry Farm” as this also forms part of the booking conditions.

    Beds will be made up and bedding provided for the number of guests in the booking.

    No smoking or vaping is permitted at Sloeberry Farm other than at the picnic table associated with your allocated accommodation. This includes all Sloeberry Farm buildings, car park, footpaths, covered areas, Cabin, Lodge and associated decking areas.

    No candles, tea lights or naked flames of any type are permitted within the accommodation or deck area. It is now an offence to burn or allow these to be burnt in holiday accommodation in Wales.

    There are plenty of areas to explore on the property, we want everyone to have fun but if you have children or pets please supervise them at all times, there are steep drops, deep water and all the hazards found on a working farm. Grounds are set in farmland and as such the terrain may be uneven underfoot so please make sure all of your party are aware of this and wear suitable footwear.

  • Well behaved pets are allowed subject to prior confirmation and approval.

    Please also note that as the pet’s owner you are responsible for controlling your pet and clearing up after them- dogs play where children play, so please clean up after they foul and use the bins provided.

    If pets become a nuisance to other guests, guidelines are not followed and the situation cannot be resolved we reserve the right to request that the pet and or owner leave the site. No refund will be given in this situation.

    No dogs are to be left unattended in Cabins, Lodges or vehicles crated or otherwise. Dogs must be kept on short leads and supervised at all times. We do not accept breeds/crossbreeds listed in the Dangerous Dogs Act.

  • Check-in time is between 4.00pm-7.00pm on the day of arrival. If you think you will be arriving after 7.00pm please contact us prior to booking. A 30 minute arrival slot will be allocated approximately seven days before your arrival date.

    Arrivals outside of stated check-in time by prior arrangement only and cannot always be accommodated

    If you arrive after 7pm we reserve the right to charge a minimum £50 late arrival fee for each unit of accommodation you have booked.

    If you arrive late without prior agreement you may have to find alternative accommodation and return at 10 am the following morning to complete check-in.

    No refunds for inclement weather, late arrivals or early departures.

    Units will be allocated on arrival.

  • Prior to arrival deposit payment information will be provided. Deposits and fuel bundle credit can be paid by any credit or debit card, we do not accept cash. All deposits must be received a minimum of 72 hours before 4pm on arrival day. If deposits are not paid reservation will be forfeited and no refund will be due.

    A £150 security deposit per Lodge or Cabin is due 7 days before arrival, this is refundable on completion of all items on the check out checklist and cabin/contents being vacated on time in satisfactory and undamaged condition

    For safety only logs/fuel supplied by Sloeberry Farm may be used in our firepits/BBQs/woodburning stoves/hot tubs. A refundable fuel bundle credit to cover initial logs, kindling, charcoal and firelighters will be taken 7 days before arrival (2024 season £39.50 this is subject to change).

    Any items unopened and unused are refundable after departure.

    An additional noise/security/behaviour deposit of £150 per unit will be required for any group / multi-unit bookings or bookings consisting of four or more adults in a single unit.

  • Under 18s must be accompanied by their parents or legal guardians.

    No guests/visitors other than those detailed in the booking are permitted to visit the site

    Single household groups only unless by prior arrangement for all bookings.

    Booking of multiple units only by prior arrangement.

    Groups of guests with multiple guests aged 18- 25 only by prior arrangement

    No groups /hen/stag parties permitted without prior agreement, failure to notify may forfeit your stay

    (A group booking is any booking of two or more units, or four or more adults within a single unit, whether booked at the same time or independently where glampers know each other prior to arrival and are likely to be spending time together onsite)

    Group bookings, if accepted, will be subject to an additional noise/security/behaviour deposit.

    No additions to the original number of guests once booked.

    Lodges sleep maximum 3 adults unless by prior arrangement.

    Cabins sleep maximum 2 adults unless by prior arrangement.

  • Remember that you will be staying on/around working farms with live animals, uneven ground and potentially dangerous farm equipment among other hazards. Also you must be aware that some of the camp equipment (such as the gas burners, hot tubs, woodburning stoves, fire pits, BBQ's etc) may be dangerous if misused. Whilst we take great care to keep you safe, accidents can happen and neither we nor the farm are responsible for such accidents (to the greatest extent permitted by law). It is your responsibility to supervise any children. If you notice that any equipment looks faulty and/or unsafe you must inform the Sloeberry Farm as soon as possible. We strongly recommend that you take out travel insurance against the risk of accidents and your stay being cut short.

    We retain the right to carry out reasonable inspection and enter any lodge or cabin, on a without notice basis, if we deem it is required.

  • Should you find you have any complaint during your stay at Sloeberry Farm, please notify us immediately and we will do all we can to rectify the problem. Please refer the matter to the duty manager if you feel it necessary. Should you remain unsatisfied please notify us in writing within 7 days of the end of your stay.

    Vehicles Users at Sloeberry Farm do so at their own risk, Sloeberry Farm cannot accept responsibility for loss or damage of property or vehicles in the car park or on the property

    It is your responsibility to ensure you and all members of your party are familiar with our terms and conditions.

    It is your responsibility to ensure you and all members of your party are covered by appropriate insurance.

    Camping can be dangerous. Although every care is taken in managing the various facilities, such as fire pits, wood burning stoves, camping gas stoves and hot tubs, Sloeberry Farm cannot be held responsible for any loss, damage or injury arising from any misadventure associated with any activity.

    Sloeberry Farm guest are welcome to explore around the farm, certain areas may represent hazards and may not be accessed without specific permission. Guests who enter such areas do so at their own risk. Please respect the No Entry signs.

    By completing a booking with Sloeberry Farm you agree to observe our guidance and recommendations and take full responsibility for your own safety.

    By completing a booking with Sloeberry Farm you and all members of your party are deemed to have accepted our terms and conditions.

 

Safety & Security

  • Wood burning stoves/FirePits and BBQs may only be used by an adult who has read and understood the operational guide provided within each unit. If you are unclear on the operation of any item please contact a member of staff before use.

    BBQs and Firepits provided must not be moved to another position. Guests are not permitted to bring their own BBQ’s/Firepits/gas appliances disposable or otherwise to Sloeberry Farm

    Only logs/fuel provided or purchased at Sloeberry Farm may be used in our firepits/BBQs/woodburning stoves/hot tubs.

    No naked flames including candles/tealights are allowed inside the Cabins or Lodge or on the deck area. It is now an offence to burn or allow these to be burnt in any holiday accommodation in Wales.

  • In order to make everyone’s stay at Sloeberry Farm enjoyable, all guests are requested to be considerate of others, we are a family orientated site.

    Inappropriate or anti-social behaviour, perceived consumption of excessive alcohol or drugs will lead to removal of all guests associated with booking from Sloeberry Farm without a refund of the rental sum or any part of it.

    We have a zero tolerance approach to any abusive or threatening behaviour towards staff or other guests this will not be tolerated and no warnings will be given, your group will immediately be asked to leave the farm and no refunds will be provided.

    By choosing to stay at Sloeberry Farm you agree to follow all reasonable instructions provided by the Sloeberry Farm team whether given verbally or provided in a written format sent by email or text or provided in a hard copy in your accommodation.

    A breach of any of the terms and conditions will result the security/damage deposit being withheld and your stay may be terminated.

    The management reserves the right to deny access or terminate the stay of those guests whose behaviour is deemed unsuitable. No refunds will be offered.

  • As it is so quiet here any noise does tend to carry.

    Please respect your fellow guests’ privacy. Guests are not permitted to play music or radios at any time.

    We are a quiet site in the evenings and request that all guests keep noise to a minimum even inside accommodation areas and if outside chatting should be with low voices.

    If the site management or their representative feels the need to speak to the group during your stay about being too noisy or any aspect of behaviour the noise/security/behaviour deposit may be withheld and your stay may be terminated.

    An additional noise/security/behaviour deposit of £150 per unit will be required for any group bookings or bookings consisting of four or more adults in a single unit.

  • No vehicles are to be taken into the meadows or by the Lodges or Cabins at any time.

    All vehicles must be parked in the designated area.

    One car parking space per Lodge will be allocated on arrival, additional vehicles cannot be accommodated without prior arrangement

    All vehicles are parked entirely at owners risk

    If you are planning on bringing an electric car we can direct you to charging points in the local area but no charging facilities are available at the farm. The use of domestic chargers is strictly forbidden.

  • A. Sloeberry Farm can accept no liability for theft, loss or damage, of whatever nature, during or as a result of your stay.

    B. The person who books assumes responsibility for any other guests within his/her party, their companions, their children, their pets and any others invited by you or them to the site. You and all members of your party are jointly and severally responsible for all loss, damage or injury which may arise, for Sloeberry Farm or any third party, as a direct or an indirect consequence of your party’s stay, irrespective of whether this was caused through actions or refraining from actions by themselves or by third parties, who are at the farm through their making, as well as of all damage which is caused by any animal and/or matter which they have under their responsibility.

    C. If your accommodation or equipment is left in a poor condition resulting in additional cleaning, repair or replacement you will be charged for costs incurred,

    D. The booking guest is responsible for behaviour of all other guests and we reserve the right to recover any damages or additional cleaning costs etc.

    If damage occurs to any property as a result of the actions of guests during the stay, where the extent of that damage is so severe that Sloeberry Farm must (in their sole opinion) cancel and/or refund subsequent bookings, Sloeberry Farm may bring a claim against you for any loss arising as a result, including the cost of refunding other guests affected by cancelled Bookings and any additional administrative fees incurred in respect of the same.

    E. Guests also acknowledge that at times there may be some changes to their accommodation, accessible spaces and closure of facilities provided that are beyond our control. No refund or partial refund will be made under these circumstances.

    The booking guest shall be liable for and indemnify Sloeberry Farm against any liabilities, damages, claims, costs, losses (whether direct or indirect and including loss of profits) and expenses incurred or paid by Sloeberry Farm arising from the use or occupation of the accommodation.

  • Your Sloeberry Farm Lodge or Cabin does not have mains electricity. Each lodge or cabin has access to a dedicated charging locker which can be used to charge small devices e.g. phone or power bank. It is strictly forbidden to charge an electric car or to power any other item such as a hair dryer or hair straighteners. Use of the charging point is entirely at the users own risk.

    You will be issued a key to the charging locker on checkin. If the key is not returned prior to leaving the farm before 10am on your scheduled departure date you will be charged £30 to cover the cost of obtaining a replacement.

    Provision of access to the charging locker by us is entirely discretionary and provided without guarantee. Failure to provide charging facilities, does not constitute a breach of any contract to provide you with accommodation.

  • We respect your privacy. We will only hold your information and use it for the purpose it was originally supplied. We will not share it with any third parties without your prior consent.
